Letting clients book their own sessions: a setup guide for therapists

A booking link saves the back and forth on WhatsApp, and clients who choose their own time turn up more often. Here is how to set it up so it works for you, not against you.

Most therapists in private practice still book sessions by message. A client asks for a time, you check the diary, offer two options, they pick one, you confirm. Multiply that by a week of enquiries and it adds up to an hour or more of admin, usually in the evening. A booking link replaces that thread with one tap, and it does something else useful: people who choose their own time are less likely to miss it.

The worry is losing control. That is fair, so set it up deliberately. These are the decisions that matter.

1. Decide which hours are bookable, not which hours you work

You might work from nine to seven, but you probably do not want a new client landing at 9:00 on a Monday or at 6:30 on a Friday. Offer the windows you are happy to fill without thinking: two or three blocks on the days you take new bookings. You can always add a session by hand outside those hours.

If you keep some days for existing clients only, leave those days off the link entirely. Nothing stops you booking them yourself.

2. Choose the session length and the gap

Set the length you actually run, usually 50 or 60 minutes, and a gap after each one. Ten minutes is enough to write a note and reset the room. Without a gap, the page will offer back to back sessions and you will feel it by mid afternoon.

3. Set a minimum notice

Minimum notice is how close to a session someone can still book it. Twelve or twenty four hours is common. It stops a stranger appearing in an hour, gives you time to see the booking, and doubles as your online cancellation cutoff: a client can cancel through the link up to that point, and after it they have to call, which is what a cancellation policy would say anyway.

4. Limit how far ahead people can book

Two to four weeks is plenty for a new client. Any further and you are committing a diary you have not planned yet, and far ahead bookings are the ones most likely to be forgotten.

5. Protect the diary you already have

The booking page must never offer a time you have already given someone, whether you booked it or a client did. In MindMaster, every session in your diary blocks its slot on the page automatically, including the gap after it. If you keep a paper diary as well, this is the moment to stop.

6. Ask for less than you think

A name and a phone number are enough to book. An email is worth asking for, because it lets you send a confirmation and a calendar invite, but make it optional. Leave history, presenting problems and consent for the intake form or the first session. A short free text box for anything they want you to know is useful, and most people leave it empty.

7. Write two sentences for the top of the page

Say what a first session involves, what it costs, and how to find you or join online. People book faster when they know what happens next, and you get fewer messages asking.

8. Put the link where enquiries come from

  • Your WhatsApp Business profile and your auto reply to new messages
  • Your Instagram bio and Google Business Profile
  • Your email signature
  • Your listing on any directory that allows a website link
  • A printed card with a QR code, if clients come to a clinic

When someone messages asking for a time, reply with the link rather than a list of options. It feels less personal for about a week, and then it feels like the obvious way to do it.

9. Returning clients

Someone who has booked before should not become a second record in your client list. A good system matches them by phone number and adds the session to their existing history. Check how yours does this before you rely on it.

10. Privacy

A booking page should show only free times, never who holds the other ones. Clients should see their own booking, and nothing else, through a private link. If a page or a calendar share reveals other names, do not use it.
